Role Overview
The Personal Assistant & Operations Coordinator at the Kenya Medical Research Institute (KEMRI) provides high-level administrative and operational support. This role is central to ensuring the efficiency of daily operations and maintaining seamless communication with both local teams and international partners. The incumbent will handle complex scheduling, travel logistics, and professional correspondence while supporting research-oriented administrative tasks.
Key Responsibilities
Calendar & Time Management: Proactively manage complex calendars, schedule meetings, and coordinate calls to optimize time management and ensure daily operations run without interruption.
International Coordination: Liaise effectively with US-based collaborators and other international partners, ensuring clear communication across various time zones and diligent follow-up on action items.
Priority Tracking: Anticipate emerging needs, track project priorities, and ensure that all meetings, deliverables, and key engagements are thoroughly prepared for in advance.
Logistics Coordination: Manage local travel logistics, including transportation and accommodation arrangements, and create detailed itineraries.
Professional Documentation: Draft, edit, and manage high-quality correspondence, presentations, briefs, and reports, maintaining a high level of accuracy and professionalism.
Job Requirements
Education: A Bachelor’s Degree in Business Administration or a related equivalent field (Mandatory).
Communication Skills: Excellent written and verbal English skills; a solid understanding of research and KEMRI’s institutional operations (Mandatory).
Organizational Skills: Highly organized and detail-oriented, with the ability to work effectively and independently (Mandatory).
Technical Proficiency: Highly proficient in Microsoft Office Suite and a willingness to adopt AI tools and other new technologies (Mandatory).
Professionalism: Demonstrable discretion, reliability, and adaptability in a professional environment (Mandatory).
Added Advantages: Prior experience in academic writing or social media management is considered a plus.
