Job Description
The Administrative Assistant role at Reeds Africa Consult involves providing comprehensive operational and clerical support to ensure the smooth functioning of the office and the leadership team in Mombasa.
Key Responsibilities
Manage office operations, including overseeing supplies, equipment, and facilities maintenance.
Coordinate the preparation and tracking of daily allowances distribution.
Maintain program documentation and organized filing systems.
Assist proactively with the procurement of necessary supplies and equipment.
Schedule meetings, appointments, and maintain the overall program calendar.
Prepare professional correspondence, detailed reports, and presentations as needed.
Manage visitor reception and provide crucial communication support to internal and external stakeholders.
Accurately track staff attendance records and manage leave applications.
Coordinate closely with the HR consultant regarding recruitment and onboarding logistics for new staff.
Provide general administrative support to the leadership team.
Qualifications & Experience
Successful candidates must meet the following criteria:
Education: Diploma in Business Administration, Secretarial Studies, or a related field.
Experience: Minimum 2 years of proven experience in administrative support roles.
Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Work Environment: Experience in project-based work environments is preferred.
Core Competencies: Must possess good organizational and multitasking abilities, along with a professional demeanor and strong communication skills.
