The IT Solutions Assistant (SC5) at the World Food Programme (WFP) delivers high-quality technical support, system maintenance, and data management to ensure effective IT service delivery. This role focuses on supporting the end-to-end delivery of IT solutions, translating business needs into technical requirements, and managing digital project documentation to support the organization's humanitarian mission.
Key Responsibilities
- Project Coordination: Support end-to-end delivery of IT solutions by coordinating workplans, timelines, dependencies, and stakeholders across Country Office (CO) and Global HQ teams.
- Requirement Analysis: Translate business needs into clear user stories, acceptance criteria, and rollout requirements in collaboration with process owners and technical teams.
- Documentation: Develop and maintain project documentation including scope, RAID logs, rollout plans, cutover checklists, and communications to support controlled implementation.
- Solution Development: Coordinate solution configuration and automation development (Microsoft 365/Power Platform and approved systems) to meet agreed scope, quality, and schedule.
- Rollout Management: Plan and execute solution rollout activities, including pilot deployments, phased releases, and production cutovers, ensuring business continuity and minimal disruption.
- Compliance & Governance: Ensure releases comply with TEC engagement processes, data protection requirements, and architectural guardrails; coordinate change approvals and communications.
- User Validation: Lead end-user validation by coordinating test plans, User Acceptance Testing (UAT) sessions, defect triage, and go/no-go readiness assessments.
- Change Management: Execute change management activities (stakeholder mapping, impact assessments, and change champions) to support smooth transitions to new ways of working.
- Enablement & Training: Develop role-based enablement materials (job aids, quick reference guides, FAQs) and support user training sessions.
- Post-Implementation Support: Ensure post-go-live hypercare, coordinate incident/defect resolution with IT Service Management (ITSM), and manage escalations.
- Performance Monitoring: Monitor usage and adoption metrics, gather user feedback, and identify enhancements to improve user experience, performance, and compliance.
- Reporting: Provide regular status updates and implementation reporting to stakeholders, highlighting progress, risks, and next steps.
Qualifications and Experience
- Education: Completion of secondary school education. A university degree in Computer Science or Information Systems is highly desirable.
- Experience: Hands-on experience in the end-to-end delivery of IT/digital projects (planning, execution, monitoring, and close-out).
- Methodology: Experience applying project delivery approaches and standards such as PRINCE2, PMP, or Agile/Hybrid and maintaining core artifacts.
- Change Management: Proven experience supporting solution rollout, stakeholder management, user communications, and training coordination.
- Technical Skills: Experience coordinating UAT, go-live readiness, hypercare, and continuous improvement based on user feedback.
- Languages: Fluency in both oral and written English. Knowledge of another UN official language is desirable.
- Certifications: Professional certifications in Project Management frameworks are desirable.
