Job Description
The World Food Programme (WFP) is the food assistance branch of the United Nations and the world's largest humanitarian organization addressing hunger and promoting food security.
Role Overview
The Human Resources Assistant (SC5) is responsible for providing high-quality HR services, managing administrative processes, and supporting the implementation of HR policies within the organization to ensure smooth operational delivery.
Key Responsibilities
HR Queries & Service Delivery: Provide assistance on general HR queries and follow-up actions to ensure consistent and high-quality HR services are delivered to clients.
Training & Guidance: Provide guidance and on-the-job training to other staff members to support their development and knowledge of HR systems.
Internal Liaison: Liaise with internal units (e.g., payroll, contracts) to facilitate timely HR services and information flow.
Data Analysis & Reporting: Extract and compile HR data on recruitment, contractual conditions, entitlements, performance, and training to support reporting needs.
Administrative Support: Support various HR activities including the onboarding of new staff members in compliance with established procedures.
Records Management: Maintain confidential personnel records, HR databases, and archives to ensure data accuracy and compliance with standards.
Documentation: Draft HR documents such as employment contracts, transfer letters, and training materials, ensuring accuracy and adherence to deadlines.
Systems Management: Use HR management systems for data entry, updates, and monitoring deadlines (e.g., contract expirations, PACE).
Emergency Support: Support staff deployment and administrative actions during crises to enable WFP's rapid response.
Requirements and Qualifications
Education: A University degree in Human Resource Management, Public or Business Administration, Industrial Psychology, or other relevant fields; OR a post-secondary certificate with additional years of related work experience.
Experience: At least 2 or more years of progressive work experience in the field of Human Resources Management, Business Development, Psychology, Organizational Design and Development, or General Office Administration.
Desired Experiences
Implementation of HR policies and procedures in line with operating standards.
Experience in payroll administration, recruitment, and interview coordination.
Providing briefings and onboarding support to new recruits.
Experience working across varying strategic organizational contexts.
