The Business Operations Senior Associate serves as the heartbeat of our commercial engine. Your primary mission is to ensure that every sale is successfully operationalized—from the moment an order hits the inbox to the moment the payment is cleared and the customer is satisfied. You are not just processing data; you are the day-to-day operational lead in the office, acting as a critical bridge between Sales, Production, and Finance. We are looking for a financially competent, highly organized "superstar" who anticipates bottlenecks and tackles challenges with independent drive.
Key Responsibilities
Lead a High-Performing Team
Directly manage and coach administrative staff, packers, riders, drivers, and casual staff.
Drive team performance, safety, and output, building cross-cover capacity to ensure operations are continuous.
Coordinate daily with the Production department to align stock levels with sales velocity.
End-to-End Order Operations
Own the full order lifecycle across Retail, Web, and B2B channels, including Sales Order (SO) creation, invoicing, packing, shipment, and delivery note reconciliation.
Manage the main order inbox and website backend, confirming availability and keeping customers informed throughout the process.
Ensure invoicing accuracy, enforce payment terms, and clear Accounts Receivable (AR) before dispatch.
Inventory & Finished Goods Control
Take full accountability for finished goods handed over by Production, focusing on security, accuracy, expiry management, and returns.
Maintain Zoho as the single source of truth for stock counts, customer setups, and shipment data.
Logistics Execution
Plan and execute deliveries using the internal fleet and external Logistics Service Providers (LSPs), adhering to standards required by major retailers and supermarkets.
Manage vehicle maintenance schedules and logistics budgets to maximize uptime and efficiency.
Navigate regulatory requirements and documentation for export/import (EAC and global).
Continuous Improvement
Lead process improvement and lean initiatives within the BizOps department.
Prepare operational performance reports for Senior Management.
Evolve Standard Operating Procedures (SOPs), Work Instructions, and risk/continuity planning.
Requirements
Qualifications & Experience
Bachelor’s Degree or Higher Diploma in Business Administration, Supply Chain Management, Logistics, Economics, or Finance.
3–5 years of experience in business operations, logistics, or administration.
Essential experience with Modern Trade/FMCG logistics processes.
Proficiency in Advanced Excel and Zoho/ERP systems.
Basic Bookkeeping and Accounts Receivable proficiency.
Experience with EAC and global export/import is preferred.
Lean Six Sigma (Yellow or Green Belt) is preferred.
CPIM (Certified in Planning and Inventory Management), CSCP (Certified Supply Chain Professional), or CILT (Chartered Institute of Logistics and Transport) certifications are an added advantage.
