Job Description
The Assistant Secretary will report to the Assistant Secretary (Supervisory). The successful candidate will be responsible for providing comprehensive Company Secretarial services within the KTDA Group, focusing on the facilitation of board and management meetings and ensuring statutory compliance.
Role Overview
The role involves attending high-level meetings, managing corporate records, and supporting the electoral processes for factory boards. The position requires a candidate with strong integrity, professional expertise in secretarial functions, and the ability to operate effectively within a team-oriented environment.
Duties and Responsibilities
Attending and providing secretarial functions to quarterly Board of Directors meetings, Annual General Meetings (AGM), and Special Meetings for the KTDA Group and associated companies.
Ensuring Company record books and statutory registers are maintained in excellent condition.
Providing administrative support in the electoral process for factory boards and other KTDA-associated entities.
Assisting in the preparation and issuance of statutory notices and agendas for Group and associated company meetings.
Taking, preparing, and distributing minutes of meetings in a timely and accurate manner.
Coordinating the compilation, publication, signing, and distribution of annual reports and accounts to shareholders across all tea factory companies.
Supervising the vetting of power of attorney during factory directors' elections.
Participating in the training and orientation of managed Tea Factory directors.
Qualifications and Requirements
Bachelor’s Degree in Social Sciences or a related field.
Must be a Certified Public Secretary (CPS).
Valid membership of the Institute of Certified Public Secretaries of Kenya (ICPSK) in good standing.
A minimum of two (2) years of relevant experience in a secretarial or administrative role.
Strong proficiency in Microsoft Office packages.
Demonstrated high integrity and ethical standards.
Ability to multitask and maintain operational effectiveness under minimal supervision.
Strong written and oral communication skills.
Flexibility to work outside standard hours to meet deadlines.
