As the Africa Team Coordinator for Legal & Compliance (L&C) at Stratostaff (supporting a major client, the Mastercard Foundation), you will provide critical clerical, administrative, and operational support to the L&C Directors across multiple time zones. This role is essential for maintaining efficient departmental operations, managing complex travel logistics, financial tracking, and contract documentation.
Key Responsibilities
- Administrative & Calendar Support: Provide high-level clerical and calendar support to L&C Directors across multiple time zones, handling sensitive and confidential matters with absolute discretion.
- Travel Logistics: Manage full travel arrangements for L&C Directors and team members, including accommodations, ground transport, visas, and immunizations.
- Financial Administration: Prepare and submit expense reports ensuring accurate coding; track and submit invoices for payment in line with organizational policies.
- Contract & Budget Management: Complete contract request forms and collaborate with Finance to maintain the L&C contracts schedule (fee schedules, expiry timelines, renewals). Support budget preparation and quarterly forecasting through data gathering and high-level analysis.
- Operational Efficiency: Identify opportunities to streamline team processes and enhance operational efficiency. Maintain the annual calendar of activities and document team processes/lessons learned.
- Information Management: Maintain electronic and paper filing systems, manage SharePoint sites, and oversee relationships with knowledge management vendors.
- Meeting & Project Coordination: Manage logistics for team meetings, retreats, and training sessions. Lead team huddles, track follow-up actions, and assist with special projects and new team member onboarding.
- Stakeholder Relations: Build and maintain relationships with internal staff and external stakeholders, providing backup support to other administrative staff as needed.
Requirements
- Academic Qualifications: Diploma in a relevant field, O-Level Certificate, or a Certificate in a relevant field.
- Experience: Prior administrative support experience, preferably within a legal or compliance environment.
- Financial Skills: Experience with budget preparation and expense reporting.
- Professional Attributes: High level of integrity, discretion, and professionalism; detail-oriented with a strong sense of ownership.
