Job Description
The Administrative Associate will provide administrative support to the STRengthening Infectious disease DEtection Systems (STRIDES) Activity in Kenya. This position requires general knowledge of the organizational and departmental policies and procedures, as well as the ability to communicate information involving programs, functions, and services. The duties include preparation of documents and administrative reports, the use of office technology, compiling records, organizing and maintaining files, and general office support.
Accountabilities
Performs general and routine administrative tasks in support of STRIDES.
Serves as the primary point of contact for input from internal and external contacts.
Provides excellent customer services in a friendly, professional demeanor.
Takes messages or fields/answers routine and non-routine questions.
Serves as the 'gate keeper' for schedules, determining needs and handling conflicts professionally.
Provides administrative support for copying, faxing, and large-scale mailings.
Responds to staff requests for administrative support as required.
Sets up and maintains files, prepares reports, presentations, and graphics.
Performs data entry, proofreads, and compiles special reports.
Receives and distributes incoming mail and coordinates outgoing courier services.
Schedules meetings and handles arrangements (conference rooms, coordinating food, logistics).
Prepares and maintains documentation, plans, reports, schedules, databases, and spreadsheets.
Supervises office cleaning operations to maintain a clean, safe, and orderly work environment.
Applied Knowledge & Skills
Basic understanding of program procedures, methods, and practices.
Proficiency in established filing and data systems.
Ability to use basic office software, information systems, and office equipment.
Clear communication skills for interacting with staff and the public.
Ability to proofread for grammar, spelling, and punctuation.
Attention to detail in composing and proofing materials.
Ability to gather and summarize data for reports and find solutions to administrative problems.
Education and Experience
Diploma in Business Administration/Management or International Equivalent.
Associate’s degree preferred.
Typically requires 0 - 3 years of relevant experience.
