Job Description
Marie Stopes International is an international non-governmental organisation providing contraception and safe abortion services in 37 countries around the world. As a Receptionist/Care Assistant, you will play a dual-function role, managing front-desk operations while providing essential administrative and accounting support within a healthcare setting.
Key Responsibilities
Front Office Duties
Greet, welcome, and direct visitors appropriately at the front desk.
Prepare insurance claims for submission and maintain relationships with third-party payers.
Answer, screen, and forward incoming phone calls.
Receive and sort daily mail.
Address client complaints promptly and escalate them to the Centre Manager.
Manage and document petty cash usage under supervision.
Complete necessary forms, reports, logs, and records.
Protect organization values by maintaining strict patient confidentiality.
Follow standard operating procedures and policies for workflow efficiency.
Execute data entry and general clerical tasks.
Accounts Duties
Systematically register client details into electronic health records (EHR) systems.
Balance daily cash accounts and manage petty cash approvals.
Ensure correct billing for cash and credit clients (including NHIF and private insurance).
Resolve daily transaction discrepancies with the finance team.
Maintain accurate accounting records and report discrepancies to the line manager.
Prepare daily, weekly, and monthly reconciliation and transaction reports.
Verify insurance coverage and benefits by recording claims.
Collaborate with care teams to deliver client-centered care.
General Responsibilities
Participate in educational opportunities and attend CMEs to update job knowledge.
Support clients during procedures using vocal local techniques when required.
Adhere to infection prevention protocols and assist in related activities.
Maintain the cleanliness of the facility as instructed by the Centre Manager.
Requirements
Education: Minimum Certificate or Diploma in Front Office Management.
Additional Qualification: Tertiary qualification in Accounts, Business Studies, or Customer Care is an added advantage.
Experience: At least 2 years of experience in office administration and accounting, ideally within a hospital environment.
Technical Skills: Advanced computer proficiency, particularly in MS Office.
Personal Attributes: High attention to detail, punctual, reliable, trustworthy, and able to work with minimal supervision.
