Job Description
The Norwegian Refugee Council (NRC) is a non-governmental, humanitarian organization with 60 years of experience in helping to create a safer and more dignified life for refugees and internally displaced people. We are seeking an Administrative Technical Assistant to provide essential support for our operations in Garissa (Dadaab). This role is multifaceted, covering general administration, asset management, IT coordination, and safety/security briefings within a complex humanitarian context.
Key Responsibilities
Adhere to NRC policies, tools, handbooks, and guidelines.
Assist with the implementation of the support function portfolio according to the plan of action.
Support the preparation and development of status reports as required by management.
Implement and maintain a filing system for all administrative documents according to established procedures.
Coordinate computer-related services, maintenance, and license renewals with the IT Coordinator in Nairobi.
Prepare and submit payroll data for casual and incentive staff for review.
Monitor the security and safety of NRC assets in DMO, and coordinate with partners at TVET, AEP, and Dagahaley Compounds.
Represent the organization in compound management meetings.
Manage cleaning, renovations, and maintenance of NRC compounds (Care and Main) and offices, including supervising casual staff.
Raise requisitions, receive, record, and distribute office/accommodation assets and consumables.
Arrange accommodation for staff and visitors, including check-ins and payment follow-ups.
Ensure timely payment of utility bills (electricity, water) in collaboration with Finance and HR.
Maintain and update the asset register according to NRC guidelines and donor regulations.
Ensure assets are in good condition and manage repairs or handovers via Equipment Check-in/Check-out forms.
Conduct physical asset audits on a quarterly basis.
Provide regular health, safety, and security briefings to staff and ensure compliance with security policies.
Liaise with UN agencies, NGOs, and external actors in Dadaab to gather security intelligence.
Maintain custody of office keys and ensure all safety equipment is functional.
Requirements and Qualifications
Education: Bachelor’s degree in Business Administration, Information Technology, or a related field.
Experience: Minimum of 2 to 3 years of relevant work experience in administrative and IT functions.
Industry Experience: Previous experience working as an Administrator or in Safety and Security within a humanitarian/recovery context.
Contextual Knowledge: Experience working in complex and volatile environments is highly preferred.
Certifications: Related course certifications in project management, risk assessment, or facility management are an added advantage.
Technical Skills: Proficiency in IT functions and asset management systems.
Language: Excellent knowledge and proficiency in English.
Personal Attributes: Documented results related to position responsibilities and ability to adhere to strict safety protocols.
