About the Role
Sai Raj Limited, a leading Kenyan manufacturer of Fibreglass moulders and Commercial Vehicle bodies, is seeking a versatile individual to fill the dual role of Customer Service and Personal Assistant. This position is central to our front-office operations and involves managing the reception area, coordinating administrative tasks, and supporting the management team.
Key Responsibilities
Reception Management: Ensure the reception area is tidy and professional. Manage the reception television display and ensure company literature (brochures/profiles) is neatly arranged for visitors.
Administrative Support: Direct all telephone inquiries to the appropriate departments (Sales, Finance, Accounts, Administration). Familiarize with staff extension numbers and ensure guards' extensions are functional.
Document Processing: Perform photocopying, scanning, and laminating of documents. Verify and submit documents received to the relevant personnel.
Logistics & Operations: Oversee the receiving and dispatch of customer vehicles accurately. Submit vehicle checklists to enable job card raising and record full details of vehicles collected.
Staff & Resource Management: Manage casual staff by recording names, retaining IDs, issuing workshop passes, drawing up contracts, and organizing payments. Monitor and ensure staff radios are functional.
Reporting: Maintain a reception book and Excel sheets to record all telesales, walk-in visitors, and telecom inquiries. Submit the reception book to the Director's office daily.
Meetings: Take and prepare minutes of meetings and distribute them to the relevant parties.
Facility Maintenance: Monitor electricity conservation (switching off unused machines/computers) and maintain visitors' safety gear (helmets/reflectors).
Other Duties: Execute any other tasks assigned by management within the prescribed timeframes.
Qualifications and Skills
Education: Minimum of a Diploma qualification.
Technical Skills: Proficiency in Microsoft Excel for reporting; ability to operate office equipment (scanners, photocopiers, laminators).
Soft Skills: Excellent organizational skills, professional telephone etiquette, and the ability to multitask in a fast-paced manufacturing environment.
