This Office Assistant role at Water Mission, located in Makueni, is pivotal for ensuring efficient administrative operations, accurate record-keeping, effective communication, and comprehensive logistical support across the organization. The position maintains office systems, manages documentation, and facilitates smooth coordination between departments. The Office Assistant reports directly to the Finance Officer.
Key Responsibilities
Office Management
- Manage daily office operations, correspondence, and filing systems.
- Maintain office supplies, assets, and inventory registers.
- Ensure an orderly office environment and staff coordination.
Administrative Support
- Prepare documents, schedules, and communication on behalf of management.
- Support HR functions including leave records, staff files, and induction processes.
- Support meeting arrangements, minutes, and logistics.
Procurement & Logistics
- Support procurement documentation and vendor coordination.
- Arrange travel logistics for field teams and visitors.
- Maintain procurement registers and inventory controls.
Customer & Stakeholder Reception
- Receive clients and direct them to relevant departments.
- Manage incoming calls, emails, and official inquiries.
Qualifications & Experience
- Diploma or Degree in Business Administration or related field.
- Minimum 2 years’ administrative experience.
- Proficiency in MS Office and office management systems.
