The HR Intern will support the Human Resources department with day-to-day HR administrative and operational tasks, with a strong focus on attendance tracking, data entry, and employee records management. This role is ideal for fresh graduates or candidates with up to 6 months’ HR experience looking to gain hands-on exposure in a fast-paced operational and project-based work environment.
Job Description
Attendance & Workforce Data Management
- Capture and update daily attendance records for site, sales, and support staff.
- Track working hours, overtime, leave, and absences accurately.
- Prepare attendance summaries and reports for payroll processing.
- Follow up with supervisors on missing or inconsistent attendance data.
HR Data Entry & Records Management
- Enter and update employee information in HR systems and trackers.
- Maintain accurate and well-organized personnel files (physical and digital).
- File contracts, IDs, academic certificates, and statutory documents.
- Ensure confidentiality and proper handling of employee information.
Recruitment & Onboarding Support
- Assist with shortlisting CVs and scheduling interviews.
- Prepare onboarding documentation for new hires.
- Support employee induction processes, including attendance on the first day.
- Update recruitment trackers and employee master lists.
Payroll & HR Administration Support
- Assist in compiling HR data required for payroll.
- Support preparation of HR reports (headcount, attendance, leave).
- Assist with preparation of HR letters (confirmation, warning, leave approvals).
Employee Relations & HR Operations
- Support HR team in handling basic employee queries.
- Assist in communicating HR policies and procedures to staff.
- Liaise with supervisors on attendance and HR-related follow-ups.
Compliance, Safety & General Support
- Assist in coordinating medical tests, site inductions, and safety documentation.
- Support HR during audits, inspections, and compliance checks.
- Perform any other HR-related duties assigned by the HR Manager.
Job Requirements
- Diploma or Degree in Human Resource Management, Business Administration, or related field.
- Fresh graduates or up to 6 months’ HR experience encouraged to apply.
- Exposure to an operational, construction, manufacturing, or project-based environment is an added advantage.
