The HR Operations Specialist is responsible for providing comprehensive HR administrative support across the region, ensuring efficient HR operations, maintaining accurate employee records, and assisting in core HR functions including onboarding, off-boarding, payroll coordination, and compliance. This role requires preferred knowledge of HR practices and regulations in Kenya, Nigeria, and Ethiopia.
Duties & Responsibilities
The successful candidate will handle the following key responsibilities:
- Act as the primary point of contact for employees regarding topics such as leave, medical insurance, and employee shares.
- Maintain and update employee records and HR databases, specifically utilizing HR SharePoint.
- Retrieve all employees' files (contracts, documents from local finance) and organize the data onto a shared folder.
- Coordinate the entire onboarding and off-boarding process, including preparing necessary materials, following procedural steps, and ensuring all required paperwork is completed.
- Update and maintain changes within the SAP HRP system.
- Coordinate the payroll process by collecting and verifying information, serving as the liaison between the HR Business Partner (HR BP), the Payroll outsourcing agency, and the finance department.
- Maintain accurate records of employee benefits and assist in the timely annual benefits enrollment.
- Assist in organizing employee engagement activities, training sessions, employee events, and other HR initiatives.
- Manage employee shares locally, including selling shares, downloading reports, and coordinating communication between finance and employees.
- Manage any other HR project cascaded from time to time.
- Oversee Office Administration, particularly Office facility management.
Required Qualifications & Experience
- Education: A Bachelor’s degree in Human Resources, Business Administration, or a related field.
- Experience: 3 to 5 years of experience in an HR administrative role, preferably gained within a large Multinational Company (MNC), with a specific focus on payroll processing.
