The Facilities Assistant at the Outreach Administration Office is responsible for providing high-quality support in managing facility maintenance requests, coordinating technical teams, and ensuring the smooth operation of hospital equipment and systems. This role acts as a bridge between users reporting issues and the technical teams resolving them, ensuring clear communication and efficient tracking of all maintenance activities.
Key Responsibilities
Provide initial assessment of urgency and business impact for all service calls and assign them to relevant technicians.
Record customer-reported complaints into the facility management system.
Update the resolution status based on technician reports and advise users on equipment status and actions taken via email or vouchers.
Manage the ticket lifecycle by updating information from technicians and closing tickets upon completion.
Prepare and analyze monthly operational reports, including Monthly Reporting Vouchers (MRV), Planned Preventive Maintenance (PPM), and checklists.
Develop Planned Preventive Maintenance schedules for facilities and equipment.
Coordinate the follow-up, delivery, receiving, and distribution of PPM spare parts and materials.
Log equipment inventory in the system and maintain updated documentation.
Order necessary materials and spare parts from stores for technical staff.
Assist in general administrative duties and prepare documentation for internal and external audits.
Participate in meetings, seminars, workshops, and training sessions as required.
Qualifications and Experience
Education: Diploma in Engineering.
Experience: At least 1 year of experience in a similar position. Experience and knowledge in Facility Management is an added advantage.
Technical Knowledge: Proficient in MS Office applications and highly computer literate. Knowledge of administrative processes is an advantage.
Communication: Ability to communicate clearly in writing and verbally.
Competencies: Excellent customer service, interpersonal, analytical, and organizational skills.
