The role of the Executive Assistant (Senior Leadership Support) is crucial for providing direct, high-level assistance to a dynamic Founder and senior executive. This position demands a highly professional, assertive, intelligent, and confident individual capable of managing complexity, anticipating needs, and executing tasks with speed and precision.
This is not a passive administrative role. The successful candidate will function as a thought partner, gatekeeper, and execution driver, ensuring the executive maintains focus, preparation, and effectiveness at all times.
Key Responsibilities
Executive & Strategic Support
- Proactively manage a complex calendar, meetings, priorities, and travel arrangements.
- Act as the primary gatekeeper for executive communications.
- Draft, review, and manage high-quality correspondence, briefs, presentations, and reports.
- Anticipate needs, identify risks, and resolve issues before they escalate.
Operational & Priority Management
- Track action items, deadlines, and commitments arising from meetings.
- Follow up with internal teams and external stakeholders to ensure execution.
- Structure days, weeks, and priorities for maximum executive effectiveness.
- Organize and maintain confidential records and executive files.
Stakeholder & Relationship Management
- Liaise confidently with senior leaders, partners, donors, board members, and advisors.
- Filter inbound requests and manage what truly requires executive attention.
- Coordinate high-level meetings, workshops, and strategic sessions.
Research & Problem Solving
- Conduct quick, targeted research to support decision-making.
- Prepare summaries, insights, and talking points for executive engagements.
- Identify inefficiencies and continuously improve ways of working.
Qualifications & Experience
Mandatory
- Bachelor’s degree from a recognized university.
- Minimum of 3 years’ experience supporting senior leadership as an Executive Assistant, Personal Assistant, or in a similar high-level support role.
- Demonstrated ability to operate in a fast-paced, high-pressure environment.
- Excellent written and verbal communication skills.
- High level of discretion, maturity, and confidentiality.
- Strong proficiency in Microsoft Office or Google Workspace tools.
Preferred
- Experience supporting founders, CEOs, or board-level executives.
- Exposure to start-ups, foundations, consultancies, or impact-driven organizations.
- Familiarity with project management tools (Asana, Notion, Trello).
