Job Description
Role Summary
The Assistant Office Administrator III is responsible for providing administrative and secretarial services, ensuring the smooth operation of office activities, and serving as a point of linkage between the Authority and its stakeholders.
Key Responsibilities and Duties
Correspondence Management: Typing routine correspondences and managing physical and electronic mail (e-mails and letters).
Communication: Handling telephone calls and addressing customer inquiries.
Meeting Coordination: Scheduling and facilitating meetings and handling appointments.
Office Operations: Operating office equipment and ensuring the security of office equipment, documents, and records.
Logistics: Making arrangements for departmental travel.
Guest Relations: Attending to visitors and clients.
Financial Support: Handling office Petty Cash.
Job Specifications
For appointment to this grade, an officer must have:
A Diploma in Secretarial Studies from the Kenya National Examinations Council (KNEC).
OR Business Education Single and Grade Certificate (BES & GC) from the KNEC in the following subjects:
Shorthand III (minimum 80 w.p.m.)
Computerized Document Processing III (50 w.p.m.)
Office Management III / Office Administration and Management III
Business English III / Communications II
Secretarial Duties II
Office Practice II
Commerce II
Proficiency in computer applications.
