The Administrative Assistant to the CEO provides high-level executive, strategic, and operational support. This role acts as a professional gatekeeper and liaison between the CEO and high-value clients, ensuring the efficient operation of the executive office and the successful delivery of strategic objectives.
Responsibilities
Executive and Strategic Support
Calendar Management: Proactively manage and optimize the CEO’s schedule, prioritizing engagements including industrial site visits, client meetings, and internal leadership sessions.
Communication and Coordination: Serve as the professional gatekeeper and liaison between the CEO and high-value clients. Draft, edit, and proofread technical proposals, internal memos, and executive reports.
Travel and Logistics: Coordinate comprehensive travel arrangements for the CEO, including complex itineraries involving local industrial sites, regional clients, and international travel.
Presentation Preparation: Assist in developing strategic presentations for executive meetings and client engagements, including compiling relevant data and performance metrics.
Operational and Administrative Management
Meeting Stewardship: Coordinate and prepare materials for Executive and Operations Review meetings, including drafting agendas, compiling technical project updates, distributing pre-reads, and documenting key decisions and action items.
Follow-Up Tracking: Maintain an effective system for tracking operational deadlines, strategic follow-ups, and commitments made by the CEO to ensure continuity across projects and service delivery.
Document Control: Manage and maintain confidential files, contracts, and company records while ensuring secure and organized documentation.
Requirements
Experience: Minimum of 2–3 years of experience supporting a C-level executive or senior leader, preferably within the Engineering, Industrial, Power, or Energy sector in Kenya or East Africa.
Education: A Bachelor’s Degree in Business Administration, Communications, Engineering (non-technical), or a related field is highly preferred. A Diploma in a relevant field combined with substantial experience supporting senior leadership will also be considered.
Technical Understanding: Ability to understand and engage in discussions involving technical terminology related to steam systems, power systems, compressed air, energy audits, or industrial calibration.
Communication Skills: Exceptional written and verbal communication skills in English, with the ability to handle sensitive information with professionalism and discretion.
Technology Proficiency: Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and familiarity with enterprise resource planning (ERP) or project management tools.
