Role Overview
We are seeking a highly organized, proactive, and reliable Executive Assistant / Office Manager to support the smooth running of our Nairobi operations. This role combines administrative excellence with office coordination and will be critical in supporting the Operations Manager and the entire technical team. You will act as the backbone of the Nairobi office — handling scheduling, logistics, documentation, and day-to-day administrative tasks while ensuring everything runs efficiently.
Key Responsibilities
Provide high-level administrative support to the Operations Manager and technical team.
Manage calendars, schedule meetings, and coordinate with the US-based team across time zones.
Handle travel logistics and accommodation arrangements when required.
Organize and maintain office operations in the coworking space.
Prepare and organize documents, reports, and presentations.
Assist with monthly billable hours tracking and basic data entry for invoicing.
Manage incoming calls, emails, and general correspondence.
Maintain accurate records of staff schedules, leave, and timesheets.
Support onboarding processes for new team members.
Handle general office administration (supplies, facilities coordination, etc.).
Perform other administrative and coordination tasks as assigned by the Operations Manager or Owner.
Requirements & Qualifications
Experience: Minimum 3–5 years of experience as an Executive Assistant, Administrative Assistant, or Office Manager.
Education: A University degree (BA/BSc) or Higher National Diploma (HND).
Skills: Excellent organizational and multitasking skills with strong attention to detail.
