The ideal candidate must demonstrate excellent communication skills, professionalism, and the ability to maintain a welcoming and efficient front office environment.
Key Responsibilities
Welcome and attend to clients, visitors, and inquiries in a courteous and professional manner.
Answer phone calls, respond to emails, and direct inquiries to the appropriate departments.
Manage appointments, schedules, and front desk records efficiently.
Maintain a clean, organized, and professional reception area at all times.
Follow all organizational protocols, administrative procedures, and instructions from management.
Handle client information with confidentiality and professionalism.
Utilize ICT and Office Applications proficiently in daily operations.
Professional Conduct & Grooming Standards
Maintain excellent personal grooming and hygiene at all times.
Ensure hair is neat, clean, and professionally styled.
Wear formal, modest, and professional clothing suitable for a corporate environment.
Ensure shoes are clean, closed, and appropriate for professional office wear.
Display an overall appearance that reflects professionalism, respectability, and attention to detail.
Work Ethic & Professional Expectations
Strict adherence to punctuality and time management.
Demonstrate the ability to follow instructions and established office protocols accurately.
Exhibit professional etiquette, including respectful communication, patience, and problem-solving skills.
Maintain a positive attitude and a strong customer service orientation.
Qualifications & Experience
Relevant certification or training in Front Office Administration, Customer Service, Secretarial Studies, or a related field.
Prior experience in a receptionist or front office role is required.
Proficiency in basic office systems and administrative tasks is an added advantage.
Strong communication and interpersonal skills are essential.
