Job Description
As a Secretary at Clovers Management & Training Consultants Ltd, you will play a vital role in ensuring the smooth operation of the office through efficient administrative and secretarial support. The role involves managing office records, handling correspondence, and coordinating logistics to support both management and staff in a professional environment.
Key Responsibilities
Manage and organize office files, records, and documents to ensure easy retrieval and systematic storage.
Handle all incoming and outgoing correspondence, including emails, phone calls, and physical letters.
Schedule and coordinate meetings and appointments, while maintaining up-to-date office calendars.
Prepare comprehensive reports, professional presentations, and accurate meeting minutes.
Monitor and maintain office supplies inventory, placing orders as required to ensure uninterrupted operations.
Greet and assist visitors with a high degree of professionalism and courtesy.
Coordinate travel arrangements and logistics for staff and management.
Provide general administrative support to the management team and other staff members.
Uphold strict confidentiality regarding sensitive company and client information.
Operate and maintain common office equipment, such as printers, scanners, and photocopiers.
Required Skills and Qualifications
A Diploma in Secretarial Studies or a related field.
Proven experience working in an administrative or secretarial role.
High proficiency in office software, particularly the Microsoft Office Suite (Word, Excel, PowerPoint).
Excellent written and verbal communication skills.
Strong organizational and time-management abilities with the capacity to prioritize tasks.
High attention to detail and strong problem-solving skills.
Ability to multitask effectively and remain calm under pressure.
High level of professionalism and discretion when handling sensitive matters.
