Role Overview
The Senior Coordinator, People Powering Biodiversity (PPB) provides essential operational, administrative, and communication support to the PPB Core Team. The primary objective of the role is to enable the effective fulfillment and execution of functions towards achieving PPB project objectives. This includes supporting the Senior Manager in liaising with various WWF International Divisions, Practices, and the WWF Network, as well as external partners. The role involves day-to-day management of administrative, knowledge management, and communications duties.
Key Responsibilities
- Administrative Management: Manage the administration for the Senior Manager and PPB Global team, including organizing agendas, tracking meetings, and streamlining workloads to ensure timely responses.
- Meeting Support: Provide coordination for virtual and physical meetings and conferences, including preparation of briefing materials and documentation.
- Communications & Digital Presence: Maintain internal platforms (Google Workspace, Workplace) and external presence (Twitter); research, design, and produce communication materials such as PowerPoints, graphics, and reports.
- Knowledge Management: Manage community groups, email listings, contact databases, and maintain an accessible intranet site with updated project information.
- Financial Administration: Support the management of PPB funds, track budget spreadsheets, assist with grant contracting/reporting, and process invoices/payments in collaboration with Accounts Payable.
- Logistics & Travel: Organize international and domestic travel arrangements, including flights and accommodation, and track CO2 information for reporting compliance.
- General Support: Perform high-level secretarial and administrative duties with tact, diplomacy, and independence in accordance with company policy.
Qualifications and Experience
- Education: Bachelor’s degree or equivalent in a relevant discipline.
- Experience: Minimum of 5 years of successful experience as a senior or executive assistant within an international environment.
- Meeting Coordination: Demonstrated experience in organizing both large-scale virtual meetings and international physical meetings (logistics and operations).
- Communication Skills: Professional, diplomatic, and effective written/verbal communication skills adapted to multicultural audiences.
- Languages: Excellent command of written and spoken English; knowledge of other languages is an advantage.
