The Senior Associate - Global Exports role is dedicated to contributing to the execution and coordination of global export operations, ensuring timely and compliant order fulfilment for partners across Africa and Asia. Working closely with internal teams and external partners, you will be responsible for enabling smooth export processes, accurate documentation, and reliable shipment execution, while actively contributing to ongoing process improvement.
Key Responsibilities
Order Fulfilment & Export Operations
- Contribute to end-to-end fulfilment of export orders (Ex-Shenzhen), including PO acceptance, pro-forma invoice issuance, and preparation of import/export documentation.
- Apply strong working knowledge of Incoterms, import duties, and export documentation to ensure compliant and timely shipments.
- Coordinate with production and logistics teams to track orders and ensure shipments meet confirmed delivery timelines.
Supply Chain & Inventory Coordination
- Monitor inventory requirements for regional warehouses across Sub-Saharan Africa and Asia and contribute to weekly inventory and planning updates.
- Maintain accurate inventory trackers and provide data inputs to Sales, Inventory, and Operations Planning (SIOP) processes.
- Prepare timely reports to create visibility on inventory status and shipment pipelines.
Partner & Stakeholder Coordination
- Liaise with partners’ operations teams to ensure delivery requirements and documentation are completed on time.
- Follow up on payment milestones in line with confirmed terms.
- Coordinate with relevant internal teams to address partner queries related to importation and warranty documentation.
Trade Compliance
- Stay informed on import regulations related to off-grid solar products in partner markets.
- Address partner queries on import requirements and escalate regulatory changes or risks to relevant stakeholders.
Shipment Tracking & Issue Resolution
- Track shipments end-to-end and coordinate with freight forwarders and shipping lines to resolve delays or exceptions.
- Maintain clear records of shipment status and proactively flag risks.
Process Improvement & Reporting
- Identify opportunities to streamline documentation, trackers, and reporting processes.
- Contribute to basic automation and efficiency improvements using Excel, Google Sheets, or similar tools to reduce manual effort.
- Prepare weekly and monthly shipment and performance reports.
ERP & Systems
- Work within SAP for export-related processes, including sales orders, pre- and post-shipment invoices, delivery documentation, and related transactions.
Qualifications and Experience
Strong candidates will typically possess the following qualifications and experience:
- 4+ years of experience in global exports, supply chain, logistics, or a related operations-focused role.
- A strong working knowledge of export documentation, Incoterms, and international shipping processes, with hands-on involvement in managing shipments end to end.
- Practical experience working with ERP systems, ideally SAP, for order processing, invoicing, and shipment-related activities.
- A high level of attention to detail, combined with strong capability in Excel or Google Sheets to maintain trackers, reports, and operational data.
- A structured approach to problem-solving and the ability to operate effectively in fast-paced, cross-functional environments.
- Clear, professional communication skills and confidence coordinating with teams and stakeholders across different regions.
