Role Overview
The Roving Secretary (Administrative Assistant) reports to various sections throughout the Embassy, providing intermittent administrative assistance as needed. The role involves supporting Section Chiefs with a variety of clerical and administrative functions to ensure smooth office operations across different departments. The position works directly under the supervision and direction of the assigned section chief and indirectly reports to the SHRO or DHRO.
Responsibilities and Duties
Administrative Functions: Perform various tasks as directed by Section Chiefs, including drafting correspondence, diplomatic notes, and demarches.
Documentation: Type reports and cables, and prepare briefing books and talking points for staff.
Communication Management: Answer telephones, screen calls, and take accurate messages.
Visitor Handling: Meet and escort visitors and work crews within the embassy premises.
Mail and Filing: Sort and distribute mail; organize and maintain both paper and electronic filing systems.
Meeting Coordination: Schedule appointments, organize meetings, and take detailed notes/minutes during sessions.
General Support: Perform other administrative support functions as required by the assigned section.
Qualifications and Experience
Experience: A minimum of two years of experience in administrative and clerical office work is required.
Education: A High School Diploma is required.
