The Project Coordinator at Liverpool School of Tropical Medicine (LSTM) is responsible for providing comprehensive logistical, financial, and administrative coordination for health research and development projects. Based in Nairobi, the role focuses on ensuring project activities are implemented efficiently and in full compliance with institutional and donor policies, especially regarding operations, asset management, and monitoring within the East African context.
Key Responsibilities
Project Operations & Logistics
Coordinate travel arrangements, meetings, training sessions, and project-related events in accordance with programme guidelines.
Support the planning and execution of field-based activities.
Liaise with internal teams and external partners to ensure the seamless implementation of project activities.
Financial & Administrative Coordination
Assist with budget tracking, expenditure monitoring, and activity costing in collaboration with the Finance department.
Review payment requests and activity budgets to ensure accuracy, proper documentation, and compliance.
Coordinate procurement and logistics processes following LSTM and donor-specific policies.
Maintain organized and accurate project records, files, and administrative documentation.
Asset & Resource Management
Maintain and regularly update project asset registers and inventory records.
Coordinate asset allocation, servicing, insurance, and periodic physical verification according to LSTM policies.
Monitoring, Reporting & Learning
Support the routine monitoring of project indicators and assist in data collection activities.
Maintain updated project trackers, risk registers, and issue logs.
Support the documentation and dissemination of lessons learned and best practices.
Compliance, Ethics & Governance
Ensure adherence to research governance requirements, ethical approvals, and regulatory standards.
Maintain all necessary documentation to support audits, internal reviews, and donor reporting processes.
Requirements and Qualifications
A Bachelor’s degree in Business Administration, Project Management, or a closely related field.
Extensive experience in coordinating health, research, or development projects.
Proven experience in health project coordination specifically within East Africa.
Experience working on multi-country and/or multi-partner collaborative projects.
Practical experience supporting budgets, procurement, and administrative reporting processes.
Computer literacy with high proficiency in MS Office applications (Word, Excel, Outlook).
Excellent communication skills with bilingual fluency in Swahili and English.
