Job Description
The World Agroforestry Centre (ICRAF) is an international institute headquartered in Nairobi, Kenya, specializing in the sustainable management, protection, and regulation of tropical rainforests and natural reserves. The Project Administrative Assistant will provide essential support in financial management, compliance, and general administrative duties for donor-funded projects within the SPACIAL unit.
Role Overview
The Project Administrative Assistant plays a critical role in ensuring the financial and administrative efficiency of projects. This involves coordinating budget development, ensuring compliance with donor regulations, and managing logistical requirements to support the project's success.
Key Responsibilities
Financial Management
Coordinate with the Principal Investigator (PI) and supervisor to develop and monitor budgets and periodic expenditures for donor-funded projects within SPACIAL.
Provide financial insights and analysis, tracking progress and recommending remedial actions to ensure appropriate burn rates and variances.
Support planning, consolidating, and managing the Annual Program of Work and Budgets (POWB) for the Unit, including updates for adjustments.
Support routine Annual, Biannual, and Quarterly financial reporting for unit projects as required by donors and partners.
Ensure timely submission of technical and financial reports.
Lead budgeting for proposal development, ensuring alignment with Donor budgeting guidelines.
Compliance & Reporting
Ensure adherence to donor rules and internal policies during financial report preparation and audit assistance.
Maintain overall compliance with signed grant agreements and ensure the best use of funds.
Monitor adherence to all financial aspects of the project portfolio.
Support partner organizations to ensure financial compliance, fund disbursement, cost eligibility, and alignment of activities to budget lines.
Administrative Management
Handle procurement and logistics for the unit.
Provide general office and staff support.
Execute any other tasks requested by the supervisor.
Requirements
Education and Qualifications
A bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
Minimum CPA II certification.
Experience and Skills
1-3 years’ experience in budgeting, financial analysis, accounting principles, and NGO donor reporting.
Familiarity with financial regulations, procurement procedures, and project management principles.
Experience in Project Management and Financial/Grants Management within international or development organizations is an added advantage.
