Role Overview
Career Options Africa Ltd is seeking a Project Administrative Assistant to provide comprehensive financial and administrative support for donor-funded projects within the SPACIAL unit. The role involves coordinating budget development, ensuring donor compliance, and managing day-to-day administrative logistics.
Key Responsibilities
Financial Management
Coordinate with the Principal Investigator (PI) and supervisor to develop and monitor budgets and periodic expenditures for donor-funded projects.
Provide insights and analysis to track progress and implement remedial actions to ensure appropriate burn rates and variances.
Support the planning, consolidation, and management of the Annual Program of Work and Budgets (POWB) for the Unit, including updates for adjustments.
Support routine annual, biannual, and quarterly financial reporting for unit projects as required by donors and partners.
Ensure timely submission of technical and financial reports.
Initiate and lead budgeting for proposal development, ensuring budgets are prepared in a timely manner and aligned with donor guidelines.
Compliance & Reporting
Ensure adherence to donor rules and internal policies during financial report preparation and audits.
Monitor overall compliance with signed grant agreements and ensure the best use of funds.
Monitor and support partner organizations to ensure financial compliance, fund disbursement, cost eligibility, and alignment of activities with budget lines.
Administrative Management
Support procurement and logistics for the project.
Provide general office and staff support.
Perform any other tasks as requested by the supervisor.
Professional Qualifications and Requirements
A Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
Professional certification of at least CPA Part II.
1-3 years of experience in budgeting, financial analysis, accounting principles, and NGO donor reporting.
Familiarity with financial regulations, procurement procedures, and project management principles.
Experience in Project Management and Financial/Grants Management within international or development organizations is an added advantage.
