Insurtech Forum Nairobi (ITFN) is hiring a hands-on PMO Delivery Lead to run the conference delivery office for ITFN June 2026. This role makes delivery predictable across workstreams by maintaining the single source of truth, running the weekly execution cadence, chasing actions to closure, and escalating decisions early—so the event executes smoothly from build-up through event week and close-out.
Role Purpose
This is an execution-focused role. You are not the content owner and you are not the primary sponsorship closer. The focus is strictly on coordinating the critical path and ensuring all moving parts of a large-scale executive conference align for successful delivery.
Objectives and Outcomes
- Master Tracking: Ensure one master tracker and pipelines (Speakers, Sponsors, Registrations) are live and used weekly.
- Governance: Weekly governance runs consistently with clear updates, clear decisions, and clear action follow-through.
- KPI Visibility: Maintain visibility and improvement of two key KPIs: Sponsor revenue received (cash in) and Registrations invoiced.
- Operational Readiness: Ensure program and speaker operations stay ahead of deadlines (briefs, confirmations, materials, rehearsals).
- Execution Control: Event week runs with calm control including run-of-show coordination and fast issue triage.
- Close-out: Clean post-event close-out, including sponsor fulfillment confirmation and a lessons-learned pack.
Core Responsibilities
- PMO Ownership: Own the delivery office: master tracker (critical path), dependencies, RAG status, and weekly action chasing.
- Pipeline Management: Maintain pipelines and forecasts for Speakers, Sponsors, and Registrations; keep next actions explicit.
- Risk & Decision Management: Maintain decision and risk logs; escalate early with options and recommendations.
- Execution Cadence: Run the weekly execution cadence: steering pack, minutes, and action closure discipline.
- Program Support: Support program execution: speaker operations (confirmations, packs, deadlines, rehearsal scheduling).
- Cross-functional Coordination: Coordinate readiness across operations, marketing, commercial, technical programs, and finance; maintain run-of-show and day-of playbook.
- Event Week Rhythm: Coordinate event-week “war-room” rhythm: issue triage, escalation, and rapid resolution.
- Post-Event reporting: Coordinate post-event close-out and reporting pack.
Working Relationships
You will work closely with: the Convener & Program Owner, a Commercial Lead (sponsorships/registrations/collections), Marketing & Communications leadership, Event Operations leadership (venue and vendors), a Technical Programs lead, and a Finance/Admin lead.
Candidate Profile
Required Qualifications and Experience:
- 5+ years PMO / program delivery / operations experience (specifically in events or multi-stakeholder delivery).
- Demonstrated cadence discipline: proficiency with trackers, weekly reporting, action chasing, escalation, and decision-making frameworks.
- Strong stakeholder management skills; comfortable coordinating senior leaders and vendors.
- Crisp written communication and high attention to detail; ability to remain calm under pressure.
Added Advantage:
- Executive forum or conference delivery experience (plenary + breakouts + sponsor activations).
- B2B sponsorship/registration pipeline discipline and forecasting.
Engagement Details
- Contract: Fixed-term / consulting through June 2026 (optional close-out into July).
- Location: Nairobi (hybrid), with full on-site presence during event week and key rehearsals.
- Start: As soon as available.
