Role Overview
The Personal Assistant will provide high-level administrative and secretarial support to the Managing Director’s Office. The role is central to ensuring the efficient operation of the MD’s office by managing daily schedules, coordinating board meetings, and maintaining a professional environment for directors, visitors, and staff. The position is based at the Tausi Head Office in Nairobi.
Key Responsibilities
Executive Support: Manage the MD’s daily calendar, appointments, and driver schedule to ensure consistent availability and effective support.
Board Coordination: Organize board meetings, including travel arrangements for directors, processing allowances, and arranging refreshments in the 6th-floor boardroom.
Documentation: Draft and dispatch letters, notices of meetings, and documents related to the MD’s office. Arrange and distribute full Board Papers and Committee Papers.
Office Administration: Receive incoming mail at the 2nd-floor reception, register and code appointments, and manage both electronic and physical filing systems using EDMS.
Travel & Logistics: Handle all travel arrangements and conference/seminar bookings for the MD and Directors. Coordinate parking for visitors.
Stakeholder Relations: Receive visitors and handle calls to the MD’s office with a high degree of professionalism.
Environment & Procurement: Procure stationery for the MD’s office, ensure the office and reception areas are well-maintained with fresh flowers, and oversee the procurement and distribution of hampers for key celebrations (Eid, Christmas, Easter, and Diwali).
Qualifications and Experience
Education: Diploma or Bachelor’s Degree in Business Administration, Secretarial Studies, Office Administration, or a related field.
Certification: Professional training in Secretarial Practice or Office Management is an added advantage.
Technical Skills: Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook).
Experience: At least 3–5 years’ experience in an administrative or executive assistant role, preferably supporting senior management.
