About the Role\n\nThe Administrative Assistant provides efficient, reliable, and proactive administrative support that enables the smooth day-to-day operation of the office and team. As the backbone of office operations, the successful candidate ensures smooth workflows, effective communication, and efficient administrative processes within a dynamic, multicultural, and fast-paced intergovernmental environment.\n\n### Duties and Responsibilities\n\n\n* Answering phones and managing correspondence (both email and physical mail).\n* Scheduling appointments and maintaining office files.\n* Coordinating travel arrangements and assisting with general office duties.\n\n\n* Greeting and assisting visitors, acting as a point of contact for internal and external stakeholders.\n* Escalating issues as needed to the appropriate supervisors.\n\n\n* Managing calendars and coordinating meetings.\n* Minute taking during meetings.\n* Assisting with event logistics, including venue bookings and attendee management.\n\n\n* Handling sensitive information with discretion and professionalism.\n* Preparing, editing, and distributing documents, reports, and presentations.\n* Assisting with report generation and document preparation tasks.\n\n\n* Any other administrative tasks as assigned by the supervisor.\n\n### Qualifications and Experience\n\n* A degree in Public Relations, Front Office Management, Business Administration, or Public Administration. Alternatively, a relevant diploma with reasonable work experience.\n* A minimum of 3 to 5 years of proven experience as an administrative assistant, executive assistant, or in a similar role in a busy office environment. Experience in an international or intergovernmental organization is an added advantage.\n* Essential knowledge of office management and records management.\n* Working knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management systems (e.g., Google Workspace, document management systems).\n\n### Eligibility Criteria\n\n* Minimum age of 20 and maximum age of 35 years at the time of recruitment.\n* The position is open ONLY to Kenyan nationals.\n* Appointment terms are permanent until the retirement age of sixty (60).\n\n### Job Benefits\n\nThe role offers attractive fringe benefits, including an education allowance, a medical scheme, and insurance cover, among others.\n\n### How to Apply\n\nAll suitably qualified and interested candidates are advised to send their application letter, detailed curriculum vitae, photocopies of academic certificates, and a copy of their Passport showing the date of birth.
