A well-established, full-service medium-sized law firm with diverse practice areas including litigation, corporate, real estate, and estates is seeking an organized and proactive Litigation Clerk to strengthen its team. The successful candidate will be responsible for ensuring smooth day-to-day office operations while providing efficient support to the legal staff and partners.
Key Responsibilities
Ensure day-to-day office activities run seamlessly.
Maintain the daily staff attendance register and oversee office hygiene, cleaning, and sanitation.
Manage proper documentation in accordance with firm procedures, including scanning all incoming documents.
Handle a busy switchboard, manage incoming calls, and manage reception/corporate communications via email and online platforms.
Liaise with advocates and Personal Assistants, ensuring timely communication of emails and calls.
Maintain and update the Office Library register.
Ensure timely dispatch of documents and follow up on invoices and payments.
Prepare vouchers, manage petty cash, and oversee administrative budgets and resource utilization reports.
Schedule and coordinate meetings for partners and staff, including preparing briefs, minutes, and reports.
Coordinate logistical aspects such as travel, accommodation, visas, and transfers for the team.
Act as a key liaison between the office and stakeholders including government authorities, suppliers, clients, and staff.
Manage office supplies, monitor stock levels, and handle maintenance or repair issues.
Perform secretarial duties including typing and drafting documents as required.
Plan and execute office events and departmental meetings.
Requirements and Qualifications
Diploma in Law, Business Administration, Communication, or a related field.
A minimum of 3 years of relevant professional experience.
Proficiency with MS Office Suite.
Strong organizational and multitasking abilities.
Excellent verbal and written communication skills.
High level of integrity, professionalism, discretion, and confidentiality.
Independent thinking and problem-solving skills.
Adaptability and flexibility in dynamic environments.
