Emerge Egress Consulting is seeking a Legal Clerk for a full-service, medium-sized firm that offers a diverse set of practice areas including litigation, real estate, corporate, and estates. The successful candidate will join the administration team and be responsible for ensuring that day-to-day office activities run smoothly while supporting the legal team.
Key Responsibilities
Office Administration: Supervise office cleaning, hygiene, and sanitation. Requisition office stationery and supplies and manage inventory to prevent gaps in efficiency.
Record Keeping: Maintain daily staff attendance registers, proper firm records, and ensure the Office Library register is up to date.
Communication: Handle a busy switchboard, responding to calls and corporate communication via various channels (email, online platforms). Act as the key liaison between stakeholders, government authorities, suppliers, clients, and staff.
Support to Advocates: Ensure timely liaison with advocates or their Personal Assistants and convey relevant emails and calls. Carry out secretarial duties including typing and drafting for staff members.
Document Management: Scan incoming documents, ensure timely dispatch of documents, and maintain proper filing systems.
Financial Duties: Prepare and write vouchers, manage Petty Cash and other administrative budgets, and follow up on resource utilization reports. Follow up on invoices, payments, and ensure timely payment of various subscriptions and firm bills.
Scheduling & Logistics: Organize and diarize appointments and meetings for partners and staff. Coordinate logistics such as travel, accommodation, visas, and transfers.
Reporting: Prepare briefs, minutes, and reports for meetings in a timely manner.
Event Planning: Assist the execution team in organizing office events such as departmental meetings and dinner events.
Facilities Management: Handle maintenance, repairs, and operational issues to ensure seamless office functions.
Qualifications and Experience
Diploma in Law, Business Administration, Communication, or a related field.
A minimum of 3 years of professional experience in a similar role.
Proficiency in MS Office Suite.
