Role Overview
The General Stores & Inventory Coordinator acts as the custodian of five general stores. The successful candidate will serve as the central receiving point for all incoming supplier deliveries and is responsible for entering all bin card data from all 16 stores across the operation into the company's Google Sheets inventory system daily. The role ensures efficient storage, proper documentation, and optimal stock levels to support uninterrupted operations.
Key Duties & Responsibilities
Inventory Management
Maintain accurate inventory records using ERP systems or stock registers.
Monitor stock levels and ensure timely replenishment.
Track stock movement including receipts, issues, transfers, and returns.
Implement inventory control methods like FIFO (First-In, First-Out) and FEFO (First-Expired, First-Out).
Stores Operations
Supervise the receipt, storage, and issuance of goods.
Ensure proper arrangement and organization of stock within the store.
Maintain clean, safe, and accessible storage areas.
Oversee handling of raw materials, consumables, and finished goods.
Stock Control & Reconciliation
Conduct regular stock counts, including cycle counts and full stock audits.
Reconcile physical stock with system records.
Investigate discrepancies and implement corrective actions.
Minimize stock losses, damages, and expiries.
Coordination & Planning
Coordinate with Procurement for ordering stock.
Collaborate with Production/Operations regarding material requirements.
Liaise with Sales/Dispatch for order fulfillment.
Ensure timely availability of materials and products.
Documentation & Reporting
Maintain and verify Goods Receipt Notes (GRN), Delivery Notes, and Issue Vouchers.
Prepare daily, weekly, and monthly inventory reports.
Analyze stock trends and provide recommendations.
Systems & Process Improvement
Use ERP or inventory management systems effectively.
Identify gaps in store processes and recommend improvements.
Implement best practices in inventory control.
Compliance & Safety
Ensure adherence to company policies and procedures.
Maintain safety standards in the store (especially for sensitive or hazardous items).
Support internal and external audits (e.g., ISO compliance).
Qualifications and Experience
Education: Diploma or Degree in Supply Chain Management, Logistics, or Business Administration.
Experience: 2–5 years of experience in stores, warehouse, or inventory control.
Systems: Experience with ERP systems (e.g., SAP, Odoo, or similar).
Technical: Proficiency in Google Sheets and data management.
