We are currently seeking a Facilities & Admin Assistant to be accountable for processes and teams within Facilities Management, Planning, and Security. This role is central to maintaining our site infrastructure, ensuring employee safety, and streamlining administrative procedures.
Responsibilities
Assist with the management of office equipment.
Plan and coordinate administrative procedures and systems to streamline internal processes.
Manage the issuance of ID and Badge Access cards for new employees, outsourcers, and visitors (activation, deactivation, and reactivation).
Handle security incident concerns, including ticket creation, reporting, investigation, and providing necessary solutions.
Perform daily operational site inspections, schedule corrective actions, and complete required paperwork.
Maintain all facilities and related documents in an orderly manner for audit and company requirements.
Respond to emails and queries from internal clients and support groups promptly.
Act as a professional and friendly face at the front desk/reception area to greet visitors, employees, and clients.
Interact regularly with site staff across finance, operations, security, and technical departments.
Maintain the site to ensure employee safety and compliance with health, safety, and legislative standards.
