Job Description
The Dispatch Officer plays a crucial role in the Safal Group's supply chain, focusing on the seamless coordination of transport, adherence to SAP protocols, and effective stock management at sales storage locations. The role is responsible for ensuring products are moved efficiently from production to customers while maintaining strict documentation standards and inventory accuracy.
Responsibilities
Dispatch and Logistics Coordination
Liaise with the planning and operations team for truck planning and placement for local and upcountry dispatches.
Request appropriate trucks from transporters based on the product requirements.
Ensure transporters place trucks on time and monitor movement from dispatch until exit.
Coordinate with service centers and upcountry offices for dispatch requests.
Escalate challenges in truck arrangement and take corrective actions.
Documentation & SAP Compliance
Generate Delivery Notes, Gate Passes, and Loading Slips in SAP according to Sales Orders and STO requirements.
Reconcile STOs and dispatches on a fortnightly and monthly basis to ensure closure.
Process clearing agent invoices after due verification and acceptance of all required documents.
Management of Stocks in Sales Storage Location
Monitor material and stock transfers from production to sales storage locations.
Conduct monthly physical stock counts.
Enter count data into SAP and generate inventory documents for approval and adjustments.
Customer Relations
Provide customers with timely updates on truck dispatches.
Submit required documentation to customers for receipt and clearance.
Liaise with customers to ensure timely documentation support and clearance at loading points.
File Management
Maintain an effective filing system and chronological numbering for invoices and STOs.
Periodically review and recommend changes to filing policies.
Secure all process-related files at appropriate locations.
Systems and Procedures
Ensure full compliance with Environment, Health, and Safety (EHS) regulations and ISO process flows.
Adhere to internal policies and ensure subordinates follow the same practices.
Research and implement best practices for continuous improvement within the section.
Management Reporting
Prepare and submit monthly reports on open/close STOs, invoicing, stocks, and SAP compliance.
Generate weekly and monthly truck movement and dispatch reports.
Requirements
Bachelor’s Degree in Supply Chain Management.
3-5 years of general work experience.
At least 3 years of specific experience in a dispatch or logistics role.
Industry experience in FMCG, Manufacturing, or Construction.
