Job Description
This consultancy supports the Corporate Services Division (CSD) of the United Nations Environment Programme (UNEP) in managing the end-to-end operational workflow associated with the Swiss Bankers (SB) card closure. The primary focus is on data validation, financial coordination, and multi-office engagement to ensure accurate funds reconciliation and the refund process.
Duties and Responsibilities
Operational Workflow Management: Support UNEP’s Corporate Services Division (CSD) in managing the end-to-end workflow of the SB card closure. This includes consolidating cardholder information, matching participants to meetings and responsible offices, and verifying card details, balances, and cluster categories.
Office Coordination: Liaise closely with UNEP offices by preparing and transmitting office-specific participant lists, monitoring outreach progress, and validating gathered banking details and participant identities.
Data Integrity: Ensure accurate data entry into Umoja (UN's ERP system) and resolve discrepancies through systematic follow-up, prioritizing high-value cases where necessary.
Tracking & Reporting: Maintain a centralized tracking system reflecting real-time updates on participant contact, document completeness, and refund readiness across all divisions. Prepare periodic progress updates and a final closure report detailing outcomes, variances, and recommendations for future exercises.
Financial Processing: Prepare grant allocation sheets, ensure proper referencing of participant balances, and maintain oversight of refund workflows including the assignment of unique transaction reference identifiers. Liaise with UNON (United Nations Office at Nairobi) to prepare consolidated refund memos, track refund execution, and validate bank transfers.
Reconciliation & Problem Solving: Reconcile grant allocations against processed refunds, identify variances, and manage special cases including incomplete banking details, disputed balances, and unidentified claims.
Compliance & Confidentiality: Carry out all tasks in compliance with UN financial rules, audit requirements, and UNEP procedures while maintaining strict confidentiality and data accuracy.
Additional Tasks: Carry out additional tasks on an ad hoc basis as requested.
Qualifications and Experience
Education: A master’s degree in finance, accounting, business administration, or a related field is required. A bachelor’s degree in a relevant field, combined with two additional years of qualifying experience (totaling at least 4 years), may be accepted in lieu of the master’s degree.
Experience: A minimum of 2 years of experience in financial reconciliation, accounting, or similar functions is required.
System Knowledge: Experience in UN financial systems such as Umoja/SAP is highly desirable.
