Job Description
The National Drought Management Authority (NDMA) is seeking to recruit two Administrative Officers III. Administrative Officers are responsible for providing comprehensive administrative support services including official transport management, security services coordination, vehicle servicing, and maintenance. The role involves the coordination of cleaning services, messengers, and registries, as well as the supervision of support staff. Officers ensure timely and efficient communication and coordination within the Authority, monitoring and evaluating administration matters, and handling routine operational issues within the department.
Responsibilities
Assist in the development of policies and guidelines for administrative purposes.
Manage the maintenance and servicing of motor vehicles, motorcycles, and generators.
Oversee the maintenance of office buildings and the allocation of office space.
Coordinate transport services, including vehicle allocation and driver supervision.
Manage registry services and maintain accurate records such as vehicle logs, registration, insurance, and accident reports.
Ensure all vehicles possess valid certifications (e.g., roadworthiness/inspection) and adhere to national transport safety standards.
Assist in the daily scheduling, allocation, and tracking of vehicles and drivers for official duties.
Monitor and manage fuel consumption, fuel supplies, and spare parts inventory.
Produce monthly reports on vehicle usage and operational efficiency.
Supervise drivers to ensure adherence to safety rules, procedures, and ethical conduct.
Requirements and Qualifications
Diploma in Management, Administration, or a related field from a recognized institution.
Proficiency in computer applications.
Must fulfill the requirements of Chapter Six of the Constitution of Kenya (Clearance from KRA, HELB, EACC, DCI, and CRB).
