About the Role
KCA University is seeking an Administrative Assistant for the Board of Postgraduate Studies. The primary purpose of this role is to provide comprehensive administrative and clerical support to ensure the smooth, productive, and efficient operation of the Board's office. The successful candidate will act as a vital link between the university administration and postgraduate students, handling various operational commitments and documentation tasks.
Duties and Responsibilities
Office Administration: Assist with day-to-day office activities to ensure a productive and efficient office environment.
Clerical Support: Provide support activities such as answering calls, maintaining calendars, and writing and preparing documentation.
Correspondence Management: Review and control incoming and outgoing correspondence and follow up on operational commitments to ensure timely responses.
Event & Meeting Coordination: Assist in organizing and facilitating meetings and special events, including scheduling dates/times, venues, attendance, agendas, and necessary facilities.
Student Liaison: Serve as a primary point of contact between the office and students, providing information and solving problems as required.
Record Keeping: Assist in updating and maintaining the Board of Postgraduate files, inventories, and records.
Visitor Support: Provide general support and guidance to visitors.
General Support: Perform any other job-related duties as assigned by the supervisor.
Qualifications and Experience
Education: Bachelor’s degree in Business Administration, Management, or a related field from a recognized/accredited institution.
Experience: Prior experience working in an academic institution, particularly within a postgraduate education environment, is an added advantage.
Technical Skills: Good working knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
Competencies: Ability to gather data, compile information, and prepare accurate reports.
