Job Description
Java House, established in 1999, introduced coffee drinking and gourmet café culture to Kenya and has since expanded across East Africa. We are currently seeking a Verification Officer to ensure operational excellence within our supply chain and distribution network.
Role Overview
The Verification Officer is responsible for verifying branch orders picked and marshalled from Warehouse, Manufacturing, and Retail departments. The role ensures that the quantities, materials, and quality of goods match accompanying documentation before timely dispatch to branches, while strictly adhering to food safety standards.
Key Responsibilities
Order Verification: Confirm quantity, material, and quality of branch orders against documentation.
Dispatch Coordination: Ensure orderly and timely dispatch of verified orders to prevent branch delays.
Discrepancy Documentation: Record any variations observed for corrective action and escalate discrepancies to supervisors.
Shipment Management: Examine items, destinations, routes, and rates to coordinate carriers for delivery.
Record Keeping: Maintain accurate dispatch records for full traceability.
Communication: Inform branches of any dispatch information affecting receipt timelines.
Quality Control: Track accuracy rates, returns, and defective items to inform quality control decisions.
Financial Administration: Initiate Goods Return Notes and Debit Notes for invoicing discrepancies.
Compliance: Ensure the entire end-to-end verification process complies 100% with food safety standards.
Relationship Management: Nurture positive relationships with suppliers and customers.
Reporting: Prepare daily, weekly, and monthly verification and distribution performance reports.
Qualifications and Requirements
Education: Minimum of a BA/BSc/HND in a relevant field (Supply Chain, Logistics, Business Administration, or similar).
Skills: Strong attention to detail, analytical mindset, and excellent communication skills.
Knowledge: Understanding of food safety standards and supply chain operations.
