Job Description
The Unit Service Coordinator at Aga Khan University Hospital plays a critical role in managing administrative operations within clinical units. This position involves ensuring seamless patient flow, maintaining accurate records, and coordinating billing for services and supplies. The ideal candidate will serve as an essential link between clinical staff, patients, and the hospital administration to ensure efficiency and high standards of service delivery.
Responsibilities
Census and Bed Management: Update the daily patient census on the computer system and ensure accurate bed allocation and billing classes for unit patients.
Patient Flow Coordination: Manage unit admissions, transfers, and discharges, communicating all movements promptly to the Nurse Manager.
Records Management: Ensure accurate filing of patient records, including insurance forms, diagnostic reports, and clinical reports, in compliance with hospital policy.
Supply Management: Responsible for maintaining unit stocks and ensuring prompt billing of all used consumables, drugs, and professional fees following procedures.
Stationery Maintenance: Ensure the continuous availability of necessary stationery within the unit and nursing stations.
Patient Experience: Assist the nurse manager with distributing and collecting Satisfaction Survey Questionnaires and handle complaints through the hospital's system.
Communication: Maintain open communication regarding bed availability with patient services staff and duty managers. Handle incoming calls and direct them appropriately.
Physician Coordination: Maintain the physician fee-for-service book and ensure all physicians sign off after rounds or procedures.
Customer Service: Respond to inquiries from visitors and staff, providing directions and alerting managers to dissatisfied clients or unusual occurrences.
Discharge Logistics: Ensure all patient records are sent to the Medical Records Department upon discharge and collaborate with clinics for follow-up appointments.
Security Coordination: Work closely with the unit's security officer to manage visitor control.
Requirements
Education: Minimum O-level Certificate (KCSE).
Specialized Training: Certificate or demonstrated experience in Front Office Management.
Technical Skills: Proficiency in computer operations and knowledge of Hospital Information Systems (HIS).
Certification: Heart saver certification is considered an added advantage.
