One Acre Fund is a nonprofit organization that supplies smallholder farmers in East Africa with asset-based financing and agriculture training services to reduce hunger and poverty. The Tupande Orders and Compliance Coordinator role is crucial for managing the end-to-end order process while ensuring strict adherence to company policies and regulatory requirements. The Coordinator is vital for maintaining the efficiency and integrity of the supply chain operations for the Tupande program.
Responsibilities
Order Management:
- Receive, review, and accurately input orders into the system.
- Track orders from placement to delivery, ensuring timely fulfilment.
- Communicate order status updates to stakeholders.
Compliance & Documentation:
- Ensure all orders comply with company policies, contracts, and regulatory requirements (e.g., export/import rules, licensing, tax regulations).
- Prepare, verify, and maintain accurate records (invoices, packing lists, customs papers, quality certifications).
- Conduct routine audits of order and shipment files to ensure data integrity and compliance.
- Coordinate with quality assurance and legal teams to manage non-compliance issues.
Coordination & Reporting:
- Liaise with stakeholders to ensure smooth order flow.
- Track Key Performance Indicators (KPIs) related to order accuracy, timeliness, and compliance.
- Generate regular reports on order performance and compliance metrics.
- Recommend process improvements to enhance efficiency and reduce errors.
Risk Management:
- Identify and escalate risks related to order fulfilment or regulatory breaches.
- Support internal and external audits with required documentation.
