Globeleq is a leader in the power industry, operating and developing utility-scale power plants across Africa. The Site Office Administrator is responsible for ensuring the efficient and professional operation of the Menengai Site Office. This role provides administrative, logistical, and facilities support to the Globeleq O&M Team during the mobilization, operational, and maintenance phases of the power plant.
Responsibilities and Duties
Office and Facilities Management
- Visitor Management: Receive, register, and manage visitors to the Menengai site office.
- Procurement Support: Assist in vendor sourcing and administrative coordination for procurement activities.
- Inventory Control: Manage procurement and inventory of office, kitchen, and consumable supplies.
- Safety and Compliance: Ensure compliance with Health & Safety regulations, permits, and site procedures.
- Meeting Support: Prepare meeting rooms and ensure proper setup and clearance.
- Logistics: Coordinate collection and delivery of site office documents and materials; manage site office security.
- Vendor Liaison: Work with external service providers for ICT systems and cleaning/housekeeping standards.
- Fleet Management: Supervise office drivers and maintain Globeleq-provided vehicles, including servicing schedules and fuel usage monitoring.
- Maintenance: Arrange repairs for site service buildings and administrative areas.
- Administrative Systems: Develop and improve administrative processes for office operations.
- Financial Administration: Manage invoicing for site office operations and monitor budget expenditures.
- Operational Support: Coordinate catering and transport for employees between Nakuru town and the Menengai site.
- Documentation: Maintain organized filing systems for all site correspondence.
General Support
- Coordinate schedules and meetings with internal and external stakeholders.
- Liaise with the Nairobi Office Administrator to align administrative activities.
- Provide general support to the broader Globeleq Kenya team.
Requirements
Qualifications and Experience
- Bachelor’s degree in Business Administration, Management, or a related field.
- Minimum of five (5) years of relevant professional experience.
- Previous experience in a heavy industrial, construction, or power plant environment is highly preferred.
- Proven track record in a site office administration or similar role.
Technical Competencies
- Understanding of Health & Safety requirements in industrial or field environments.
- Experience with ERP or CMMS systems (SAP experience is a significant advantage).
- High proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Strong capability in vendor management and administrative reporting.
