Job Description
The Embassy of Sweden in Nairobi seeks to recruit an experienced Administrator for its Development Cooperation Section. This role involves managing complex agendas, booking, planning, and organizing meetings, and supporting travel planning and visits. The position requires a high degree of flexibility and the ability to adjust quickly to change and new directives in a dynamic, high-tempo work environment.
Key Roles & Responsibilities
Administrative Support: Provide support to the Head of Cooperation, including scheduling, correspondence, travel arrangements, and logistics.
Meeting Coordination: Support the planning and organizing of meetings, workshops, and events with a focus on detail and time management.
Executive Management: Manage the Head of Cooperation's calendar, meeting agendas, and document preparation.
Logistics & Operations: Prepare DHL dispatches for the section, maintain archives, and assist the team with travel logistics.
Communication: Edit and proofread materials to ensure high-quality professional communication; manage social media presence (LinkedIn, X, Facebook, Instagram) for the Head of Cooperation and the team.
Task Monitoring: Monitor and follow up on tasks to ensure timelines are met.
Collaboration: Work with other administrative functions within the Embassy and with external parties.
Requirements
Education: University degree or diploma in administration or a related field.
Experience: Minimum of three (3) years of experience in administrative work, such as an administrator, secretary, or personal assistant.
Context: Proven experience working in high-paced environments with short lead times.
Language: Fluent in English, both written and spoken.
Technical Skills: Proficiency in basic MS Office programs (Word, Outlook, Excel) and professional social media management.
Soft Skills: Strong writing skills, attention to detail, organizational and time management skills, and a proactive approach.
Attributes: Punctual, responsible, and strong team working skills with the ability to maintain professional networks.
