We are seeking a Property Administrator to manage and maintain records for government and contractor-owned property.
Role Purpose
The Property Administrator is responsible for the lifecycle management of government and contractor-owned assets. This includes maintaining accurate records, performing physical inventories, and ensuring that all property movements and disposals comply with strict federal regulations such as FAR and DFARS.
Key Responsibilities
Records Management: Manage and maintain records and documentation for all government and contractor-owned property in accordance with applicable regulations and policies.
Inventory Control: Conduct inventory tracking and control processes to ensure property accountability, including receiving, issuing, transferring, and disposing of assets per established procedures.
Logistics Coordination: Coordinate the movement of property, ensuring items are accounted for, tracked, and properly documented in property management systems.
Database Maintenance: Maintain a comprehensive property database, ensuring accuracy and timely updates for audits and reports.
Audits and Inspections: Perform audits, reconciliations, physical inventories, and inspections to ensure compliance with government-property management guidelines.
Standard Operating Procedures: Develop and implement procedures for proper labeling, tracking, and storage of property.
Reporting: Assist in preparing and submitting reports on property status, discrepancies, or changes to government property management representatives.
Regulatory Compliance: Monitor and enforce compliance with applicable regulatory standards, such as Federal Acquisition Regulations (FAR) and Defense Federal Acquisition Regulations Supplement (DFARS).
Investigation: Investigate and report any property loss, damage, or destruction, and recommend corrective actions to prevent recurrence.
Inter-departmental Coordination: Coordinate property administration activities with internal departments such as logistics, procurement, and warehousing.
Audit Support: Provide support during external or internal audits of property records, systems, and processes.
Requirements
Experience: 2-4 years of experience in property administration, inventory management, or a related field.
Education: High school diploma or equivalent (KCSE); additional certifications or training in property management are a plus.
Technical Knowledge: Familiarity with property tracking systems, including relevant software and databases.
Compliance: Working knowledge of Federal Acquisition Regulations (FAR) and other government policies governing property management.
Skills: Proficiency in Microsoft Office Suite, especially Excel, for managing reports and property data.
Communication: Excellent communication skills, with proficiency in English for both verbal and written communication.
Travel: Must be in possession of a valid passport (valid for a minimum of one year at the time of hiring) and be able to travel internationally.
Health: Ability to successfully pass contract medical requirements and maintain requirements for the duration of deployment.
