This Programme Associate role (G6 level, Fixed-Term Appointment) provides essential administrative, logistical, and financial management support to the Ending Violence against Women (EVAW) Section at UN Women. The incumbent will support senior management and policy specialists in implementing programme work plans, managing budgets, and ensuring operational efficiency. The role involves high-level coordination within the Quantum/Oracle Cloud ERP system and facilitates knowledge sharing across the organization.
Responsibilities
1. Administrative and Logistic Support to EVAW Initiatives
Provide administrative support to the Policy Advisor, Deputy Chief of Section, Section Chief, and Policy Specialists.
Assist in preparing programme work plans, budgets, and implementation proposals.
Monitor the implementation of the Section's biennial work-plan and follow up on operational activities.
Collect and compile data on programme operations for management review.
Prepare information for audits and support the implementation of audit recommendations.
2. Budgetary Planning and Financial Management
Support the planning, tracking, and recording of financial resources according to UN Women rules.
Manage budget revisions, requisitions, and goods receipts in the Quantum system.
Compile and record contribution information for the management business process.
Support Policy Specialists in project creation and tracking expenses in Quantum and Prism.
Review monthly budget expenditures and respond to donor queries regarding financial reports.
3. Operational and Administration Support
Coordinate all logistical and financial arrangements for meetings, workshops, events, and missions.
Provide inputs for procurement plans and process procurement in coordination with the Division of Finance and Administration (DFA).
Handle travel arrangements, including requisitions, claims, and entitlement calculations for section staff.
4. Knowledge Building and Sharing
Synthesize lessons learned and best practices in operations-related issues.
Support the organization of training for office staff and partners on programme and operations matters.
Requirements
Education: Completion of secondary education is required. A specialized certificate in finance, accounting, or management is highly desirable. A Bachelor's degree in Business or Public Administration is an asset.
Experience: At least 6 years of progressively responsible experience in administration or programme management support.
Financial/Procurement Skills: Required experience in finance, budget management, and procurement.
Technical Proficiency: Experience with office software packages is required. Experience with modern web-based ERP systems (preferably Oracle Cloud/Quantum) is highly desirable.
Languages: Fluency in English is required. Knowledge of another UN language (French, Arabic, Chinese, Russian, or Spanish) is an asset.
