Role Overview
Reporting to the Program Manager, the Program Officer will work closely to support program implementation for the SWITCH Kenya Green initiative. This role involves assisting the Program Manager in managing project activities, ensuring compliance, handling consortium and stakeholder communications, tracking work plans, and producing quality progress reports. Key responsibilities include implementing Hivos activities, ensuring meticulous filing and documentation, providing programmatic support to partners, and managing a Gender Equality and Social Inclusion (GESI) tracking plan.
Key Responsibilities
Program Implementation
- Contribute to the planning and implementation of the Hivos plan of work.
- Support lobby, advocacy, and policy influencing efforts at both national and county levels.
- Manage internal and external communications, including publishing articles and blog posts and guiding the communication strategy with support from the communications officer.
- Handle event logistics, campaign planning, and routine tracking of budgets and expenditures.
Grant Making
- Support grant management efforts by maintaining strong relationships with program partners and ensuring timely follow-up on deliverables.
- Communicate deadlines and updates clearly to all partners.
- Support the disbursement of funds with conclusive and well-documented paperwork.
- Assist partners in implementation efforts and support MEL processes, including data consolidation and documentation of learnings.
Filing & Archiving
- Maintain organized, up-to-date digital program files in line with Hivos document management standards.
- Ensure partner documentation (contracts, reports, MEL tools, disbursements) is filed for internal and donor audits.
- Track, label, and archive all correspondences with consistent version control.
- Support the Program Manager and Finance Officer in preparing documentation for audits and compliance checks.
Requirements
Priority will be extended to Kenyan candidates.
Academic Qualifications
- Bachelor’s degree in social sciences, development studies, public policy, environmental studies, project management, or a related field required.
- A Master’s degree in a relevant field is an added advantage.
- Additional certification in project management, MEL, or grant management is desirable.
Core Skills & Experience
- Minimum of 4 to 5 years of experience in program management or project coordination, preferably within an NGO context.
- Working knowledge of green/circular economy and MSME ecosystems.
- Strong multitasking abilities and solid writing/communication skills.
- Proficiency in MS Office and basic project/MEL tools.
- Ability to track budgets, deadlines, and deliverables.
