Job Description
The Principal Office Administrator (ASB 5) at the Public Sector Accounting Standards Board (PSASB) is responsible for coordinating and managing the daily operations of the office. The Board is a semi-autonomous State Agency established by the Public Finance Management (PFM) Act No.18 of 2012, mandated to set standards for accounting and internal audit systems for all state organs and public entities. This role involves providing high-level administrative support, managing protocols, and ensuring the smooth flow of office functions.
Responsibilities
Taking oral dictation and preparing responses to routine correspondence.
Using e-office systems to research and process data.
Operating office equipment and ensuring its proper maintenance.
Attending to visitors and clients, managing office protocol and etiquette.
Handling telephone calls, customer inquiries, and complaints professionally.
Coordinating and scheduling meetings, appointments, and travel arrangements.
Maintaining the security of office records, equipment, and documents, including classified materials.
Ensuring the security, integrity, and confidentiality of data.
Maintaining an up-to-date and efficient filing system.
Guiding and supervising other office administrative personnel.
Requirements
A cumulative period of nine (9) years’ relevant work experience, with at least three (3) years in the grade of Senior Office Administrator or in an equivalent position.
Bachelor’s Degree in Secretarial Studies/Business Office Management OR a Bachelor’s degree in Social Sciences plus a Diploma in Secretarial Studies (or BES & GC Stages I, II, and III).
Certificate in Secretarial Management course (min. 4 weeks) from a recognized institution.
Certificate in Management course (min. 4 weeks) from a recognized institution.
Certificate in Public Relations from a recognized institution.
Membership to a relevant professional body and in good standing.
Proficiency in computer application skills.
Demonstrated merit and ability as reflected in work performance and results.
