The Grants & Compliance Officer will support the grants management process, ensuring compliance with donor requirements and assisting in managing all aspects related to grant funding for assigned projects. This role involves overseeing the grant application process by supporting budgeting, effectively managing a portfolio of grants, and providing support to project leads to facilitate the delivery of quality projects on time and on budget.
Key Duties & Responsibilities
Assist in the preparation, review, and submission of grant proposals, including budget development and narrative writing.
Maintain accurate and up-to-date records of grant-related documents, correspondence, and reports.
Track grant deadlines, reporting requirements, and deliverables to ensure timely submission and compliance.
Collaborate with finance and program staff to monitor grant expenditures and ensure adherence to budget allocations.
Assist in the preparation of donor financial reports and ensure compliance with donor reporting guidelines.
Serve as a liaison between program staff, funding partners, and other stakeholders regarding grant-related matters.
Ensure compliance with donor regulations, policies, and procedures throughout the grant lifecycle.
Assist in the development and implementation of grant management policies, procedures, and systems.
Support capacity-building initiatives aimed at enhancing the grant management skills of staff members.
Prepare and submit timely and accurate donor financial reports on grant activities and financial status to the immediate supervisor.
Monitor and document the grant-making workflow processes, forms, templates, reports, and data to assure full compliance with internal controls and legal requirements.
Maintain working knowledge of RHNK’s programs and priority funding areas and remain abreast of current research, activities, and trends in the reproductive health sector.
Qualifications and Experience
Bachelor’s degree in a relevant field such as Finance, Accounting, Business Administration, Economics, or related fields.
4 years of relevant experience in grant management, donor compliance, or financial oversight.
Proven experience working with international donors.
Experience in budget preparation, grant proposal review, financial reporting, and sub-grant management.
Grants and contract management experience – from award to close-out.
Strong understanding of financial systems, budgets, and compliance.
Analytical skills for reviewing budgets, financial reports, and grant performance.
Familiarity with the grant lifecycle: solicitation, selection, award, implementation, monitoring, and closeout.
Attention to detail and strong organizational skills.
Proficiency in grants management software.
Strong communication and interpersonal skills, including negotiation and donor liaison.
Ability to train and mentor sub-grantees and partners on grant requirements.
Understanding of grant agreements, contracts, and MoUs.
Familiarity with monitoring, reporting, and audit requirements of grants.
Skills in risk assessment and ensuring internal controls are in place.
Certified Public Accountant Kenya (CPA-K).
Excellent written and spoken English.
Ability to work independently and under pressure.
Willingness to travel to field offices or sub-grantee locations as required.
