The Field Coordination Officer is a national position based in Kenya, responsible for supporting the project life cycle from initiation to closure. The role involves close collaboration with the CESVI Project Manager and departments such as logistics, administration, programming, and human resources to ensure project objectives are met in line with operational plans. The officer will oversee field teams, manage workplans, and ensure compliance with humanitarian principles and organizational standards.
Key Responsibilities
Project Management
Lifecycle Support: Contribute to all project phases from initiation to closure, ensuring alignment with project objectives.
Reporting: Design and maintain weekly progress reports to monitor activities and facilitate information exchange with the Project Manager and partners.
Internal Coordination: Liaise with various departments (logistics, admin, HR) to define needs and manage project scopes.
Operational Flow: Organize stakeholder meetings, manage logistics for field activities, and participate in technical meetings.
Timeline Management: Oversee the activity workplan and ensure all project deadlines are met.
Documentation: Regularly update work plans, technical reports, meeting minutes, and monitoring reports.
Team Supervision: Coordinate field teams, plan daily/weekly activities, and support staff capacity building.
Compliance: Ensure all activities adhere to humanitarian principles, the Code of Conduct, and transversal policies (protection, gender, accountability).
Strategic Support: Participate in drafting agreements with local stakeholders and resolving operational issues, reporting promptly to the Project Manager.
Project Administration and Logistic Support
Provide day-to-day administrative and logistical support to the project office team.
Manage travel arrangements, motor vehicle maintenance, and office upkeep.
Maintain organized filing systems for project documents to facilitate audits and donor visits.
Ensure office security and supply of necessary items (stationery) in coordination with the Head Office.
Project Finance Management and Accounting
Support budget management, petty cash processing, and payment requests (purchase orders, bills).
Raise procurement requests for office supplies in accordance with the Procurement Plan.
Verify that all financial documents conform to organizational procurement and accounting procedures (mission orders, disbursement forms, receipts).
Requirements
Education: A university degree (BA/BSc/HND) in management, project management, economics, or a related field, held for at least 4 years.
Experience: At least 3 years of experience in relevant areas. Experience in the education and/or security sectors is an advantage.
Technical Skills: Proficient in Microsoft Office, particularly Excel.
Language: Excellent spoken and written English with strong report-writing skills.
Soft Skills: Strong organizational and administrative aptitude, teamwork, communication, and negotiation skills.
Remote Management: Demonstrated ability to manage teams and activities remotely.
