The Assistant Operations Manager will oversee the overall operations management of company projects, lead a team of project managers and other teams, and ensure operational efficiency and successful implementation of below-the-line (BTL) company projects. The role involves end-to-end project management and strategic planning.
Key Responsibilities
Knowledge & Skills
Develop an understanding of consumer personas, mindsets, attitudes, values, and behaviors to create experiential programs.
Utilize Marketing Analytics to set project objectives and KPIs, monitor campaign performance, and use data to make informed decisions.
Consistently identify marketing and experiential trends across cultural moments and industries with a specific focus on Client industries.
Build and maintain a database of operational crew members for different projects.
Become totally immersed in understanding the client marketplace and support the development of competitor reviews.
Delivery & Execution
Business development through collaboration with Client Service to develop proposals, budgets, and project plans for new and existing business.
Issue and update project schedules to deliver client campaigns, negotiating on delivery where necessary.
Coordinate and support on-ground activation teams and other support staff.
Manage budgets and track expenses to ensure projects are executed within budget while implementing cost-effective solutions.
Collaborate with the finance department to develop and manage budgets for operations.
Manage procurement of necessary operational contractors, staff, logistics, and equipment.
Oversee and report to management/client on progress, learnings, and successes of activities conducted on behalf of the Client.
Create and optimize standard processes for best-in-class activation and event execution.
Lead operational status meetings and ensure WIP (Work in Progress) actions are completed by deadlines.
Ensure local security and workplace safety and health regulations are adhered to at all company projects.
Manage vendors and contractors to ensure they meet all contractual obligations and deadlines.
Assess project risks and provide solutions where applicable.
Prepare and review reports for projects, ensuring accuracy and logical consistency.
Commercial Management
Accurately estimate for projects in conjunction with CS teams following receipt of new briefs.
Track project budgets for reconciliation and accounting.
Ensure projects run within budget by regularly reviewing WIP and re-estimating if costs exceed allocations.
Reconcile and invoice jobs in a timely manner in collaboration with Finance.
Evaluate existing operational processes and workflows to identify areas for improvement.
Talent Management & Leadership
Provide line management and day-to-day support/on-the-job training to Operations assistants.
Recruit, mentor, and inspire the operations team to achieve high levels of performance.
Foster a collaborative and positive working environment.
Technology & Risk Management
Identify potential operational risks and develop mitigation strategies with robust contingency plans.
Evaluate and implement relevant technologies to enhance operational efficiency.
Stay informed about industry trends and emerging technologies.
Requirements
6+ years of relevant experience in experiential marketing or event management.
Degree in Project Management or a relevant field of study (BA/BSc/HND).
Proven experience managing project budgets on target.
Experience managing event Health & Safety and creating risk assessments.
Strategic thinker with the ability to translate strategies into actionable plans.
Familiarity with project management tools.
Excellent time management, organizational skills, and attention to detail.
Strong leadership qualities and a positive "can-do" attitude.
